Adding Event to My Calendar

This guide will walk you through the process of creating a single, one-time event, and setting up a basic recurring event using the My Calendar plugin.

Step 1: Access the “Add Event” Screen

  1. Log In to your WordPress Dashboard.
  2. In the left-hand menu, navigate to My Calendar.
  3. Click on the Add Event sub-menu link.

Step 2: Enter Basic Event Information

At the top of the Add Event screen, you will fill in the main content details:

Event DescriptionUse the standard WordPress editor (Gutenberg or Classic) to add the full details of your event. Include paragraphs, links, and any necessary images here.

Event CategoryChoose the appropriate category for the event from the list. If needed, click + Add Categories to create a new one (e.g., Social, Fundraiser, Degree Work).
HostSelect the name of the user or group hosting the event.

Step 3: Set the Date, Time, and Repetition

This is the most critical section for scheduling the event.

A. For a Single (Non-Recurring) Event:

  1. Select the Start Date: Use the calendar picker to choose the Start Date.
  2. Set the Start Time: Enter the time the event begins (e.g., 7:00 PM).
  3. Set the End Date and Time:
    • For a single-day event, the End Date will be the same as the Start Date.
    • Set the End Time (e.g., 9:00 PM).
  4. All Day Event: Check the All day event box if the event does not have a specific start or end time.

B. For a Recurring Event:

If your event happens more than once (e.g., a meeting every third Tuesday), use the Repetition Pattern section:

  1. Set the Start Date and Time of the first occurrence.
  2. Choose the Repetition Pattern that fits your event:
    • “Does not repeat” (default for single events)
    • “Repeat Daily”
    • “Repeat Weekly”
    • “Repeat Monthly” (This is often used for lodge meetings, like “Every third Monday”).
    • “Custom” (For more complex patterns).
  3. Repeat Every: Enter the number of weeks/months/days between repetitions (e.g., enter 1 for a weekly event).
  4. Repeat Until: Set the End Date for the entire series of recurring events. The system will automatically stop adding new events after this date.

Tip: Adding a few unique dates for a single event

If you have a few unique, one-off event dates that share the same details (like a 3-day conference), you can use the + Add Copy button to duplicate the event details and simply change the date/time for each copy. The system will group them together.

Step 4: Add Location and Accessibility

Scroll down to the Event Location section:

  1. Select Location: Choose a previously saved location from the dropdown menu.
  2. Add a New Location: If the venue is new, click + Add a new location and fill in the fields (Name, Address, City, Postal Code).
    • Check the box Copy new location to save it for future use.

Accessibility:

  • Check the boxes under the Accessibility section to indicate any accessibility services available for the event or the venue (e.g., Wheelchair Accessible, Sign Language). These details are displayed on the public event page.

Step 5: Publish the Event

  1. Review: Check all your details, especially the dates, times, and repetition pattern.
  2. Publish: Click the Publish button at the bottom of the form (or near the top-right in some editor configurations) to make the event live on your calendar.

How to Edit an Event

To modify an existing event:

  1. In the WordPress menu, go to My CalendarEvents.
  2. You will see a list of all current events.
  3. Click the title of the event you wish to modify to open the editor.
  4. Make your changes and click Update.
